Terms and Conditions                                    Costa Rica Extreme
 

RESERVATIONS/DEPOSIT & FINAL PAYMENT

As our group sizes are limited to a maximum of 12 persons for our standard itineraries, early reservations are recommended.  A $250.00 per person non-refundable deposit is due upon confirmation of your excursion.  The deposit will be applied toward your final payment.

 

A second deposit of $1,200 will be due 60 days prior to your excursion departure date (“departure”).

 

Final payment will be due no later than 30 days prior to departure. 

 

If deposit or final payment is not received when due, we may be forced to release your space to other interested adventurers.

 

If you are booking your excursion directly with us, you may charge your payments by telephone to your Visaâ or MasterCardâ.

 

For advance reservations of more than 90 days, you may use personal or corporate checks drawn on U.S. or Costa Rican accounts for your initial deposit.  Reservations secured by check will not be confirmed until the check has been processed and cleared by CRE’s Costa Rican based bank (3-4 weeks).

 

If booking through your hotel or an agency in Costa Rica, be sure to receive from them a voucher to present to your Costa Rica Extreme (“CRE”) Trip Leader.

 

LATE BOOKINGS

Bookings made within 30 days of departure require full payment at time of confirmation.

 

SINGLE SUPPLEMENT

Fees are per person, based on double occupancy.  We offer assistance in arranging room shares but cannot guarantee that one will be available.  Singles who wish to share with another should request this at time of booking and will be booked as single but willing to share if possible. However, if single accommodations are requested or if a roommate is not available, a single supplement fee of $450.00 will be charged. For certain trips, single accommodations may not be available (either for part or for all of the excursion).

 

 

CANCELLATIONS/REFUNDS

Cancellations are very costly and usually do not occur in time for resale of the cancelled excursion.  If cancellation in writing is received by CRE more than 60 days prior to departure, the non-refundable initial deposit will be retained and we will refund all additional amounts paid.  For cancellations received within 60 days of departure, the following per person cancellations fees apply:

  • 59-45  days prior to departure:             20% of total price
  • 44-21  days prior to departure:             30% of total price
  • 20-07  days prior to departure:             75% of total price
  • Departure Day (Day 1 of Itinerary):       100% of total price

Once the trip has commenced there can be no refunds on unused services.  To assure fairness, no exceptions can be made.

 

CRE cannot be responsible for delays or changes in air or other services, sickness, weather, strikes or other factors beyond CRE’s control.  No refund will be made for unused portions of the tour due to such factors. 

 

CHANGES & CANCELLATIONS

A $50.00 change fee per supplier affected by the change goes into effect at the time of a booking confirmation.  No itinerary changes can be accepted within 30 days of departure.

 

GROUP DISCOUNTS

Groups of 12 or more get the 12th guest FREE when jointly making reservations for the same excursion.  Groups of 6 or more receive a 15% discount per guest when making reservations for the same excursion.

 

SUBSTITUTION OF ITINERARY

Although every attempt is made to adhere to itineraries, if conditions necessitate changes or if certain features are unavailable, we reserve the right to vary itineraries and substitute alternatives of a similar nature as available.  

 

OVERNIGHT DELIVERY CHARGES

Actual overnight delivery charges will be assessed when incurred if we are required to send documents to you via Express Mailâ, FEDEXâ or UPSâ

 

WHAT’S INCLUDED IN OUR EXCURSION FEE

Our excursions are comprehensive and all-inclusive.  Our excursion fees are structured to include all but your most personal expenses.  We include: world-class athletes serving as your Primary Guides, all meals and beverages (except for alcoholic ones), all tolls, taxes and gratuities, all admission fees and rental charges, all equipment for posted activities (except personal items), all in-country transfers and accommodations for the duration of the itinerary and most importantly, safety training and instructions for all activities.

 

WHAT’S NOT INCLUDED IN OUR EXCURSION FEE

International airfare to Costa Rica, passport, visas, and visa photos, immunizations, insurance of any kind, excess baggage charges, airport departure taxes, medical costs, costs of hospitalization or evacuation from remote areas, laundry charges, room service, phone calls and other items of a personal nature. 

 

If any trip has to be delayed because of bad weather, road conditions, flight delays, sickness, or other contingency for which CRE or its agents cannot make provision, the costs incurred by such delays are not included.

 

Early arrivals or late departures: If you prefer to arrive earlier or stay later than the planned dates, CRE can assist you with extra nights reservations at Costa Rican hotels on a space available basis, or you may want to consider one of our shorter excursions to extend your adventure.

 

GRATUITIES

Gratuities are always discretionary and a personal decision based upon your overall experience. CRE’s itinerary pricing includes gratuities for all but your primary guide. If you feel that your primary guide enhanced your excursion experience, a financial gesture of appreciation is appropriate.  We suggest that you place your gratuity in an envelope and present it personally at the end of your excursion (the industry standard is 10-20%).

PRE-DEPARTURE INFORMATION PACKAGE

Before you embark on your excursion, we will provide you with extensive pre-departure information, including your reservation payment receipt and itinerary confirmation, suggestions for preparing for your trip, a packing list, a liability release agreement and an official CRE t-shirt.

 

PHOTOGRAPHS & MAPS

Photographs and maps in our promotional materials depicting various locations and activities in Costa Rica are for illustrative purposes only.  They are not necessarily indicative of the specific locations and activities included in our excursions. 

 

PHYSICAL CONDITION/ SUITABILITY

Our excursions are designed for people who are active and in good health. Our itineraries are action-oriented, challenging and physically demanding.  It is imperative that persons with medical problems advise us of their condition at the time of booking their excursion.  Failure to do so may result in a person’s inability to participate in the excursion.  The failure on the part of any participant to disclose physical or medical restrictions at the time of booking may also result in the denial of a refund in accordance with CRE’s current refund policy. 

 

CRE’s trip leaders reserve the right to refuse to allow any participant from engaging in an activity if in the leader’s opinion he or she considers it medically necessary.  CRE assumes no liability regarding the provision of medical care.  Participants are urged to check their personal health insurance coverage for its adequacy when outside of their own country or to purchase travel insurance.

 

So as to ensure amiable, team-oriented participation, CRE reserves the right to accept or reject any person as an excursion participant.  We also reserve the right to expel from the excursion any participant who either poses a direct threat to the health, safety or enjoyment of other participants or who cannot meet the eligibility requirements for our excursions.

 

AGE LIMITATIONS

 A parent or an adult guardian must accompany participants who are less than 18 years old on the excursion departure date.  Out of concern for their safety and well-being and because of the high degree of physical activity on our excursions we do not accept participants less than 12 years of age on our established excursions.  Parents with children younger than 12 should contact us (tours@costaricaextreme.com) to allow us to devise a custom excursion suitable for young children (yet still guaranteed to thrill their parents).

 

SMOKING

Smoking is not allowed on our motor coaches, in the tents or in hotel rooms.

 

 

WEIGHT LIMITATION

When traveling on light aircraft or by boat within Costa Rica, you will need to restrict your baggage to 25 lbs. per person.  Your excess belongings can be stored aboard our secure coach or at our storage facility at no additional charge.

 

BAGGAGE/LUGGAGE

Airlines allow a maximum of two checked bags plus one carry-on free of charge.  Dimensions are based on length plus height plus width: two bags at 62 inches each (not to exceed 70 lbs. each) plus one carry-on with total dimensions of 45 inches.

 

No responsibility is accepted by CRE for loss of or damage to luggage or any other belongings while in the custody of any airline, coach company or hotel. 

 

TRANSPORTATION

Ground travel is by 6 to 25-passenger vehicles well equipped to negotiate Costa Rica’s narrow roads safely.  Due to the limited local air network, flights within our country are by small scheduled and charter aircraft. 

 

ACCOMMODATIONS
We use the best accommodations available in the regions we travel.  The hotels and resorts noted in our itineraries will be used on most excursions.  If a change becomes necessary for any reason, hotels substituted will be equivalent to those stated in the itinerary.  Accommodations are based on twin-bedded rooms.  A third bed, generally a rollaway bed, may be requested locally if required. 

 

We appreciate that many participants require a detailed lodging outline to leave behind with relatives.   We will happily provide a confirmed lodging itinerary as soon as possible (usually within 30 days of departure).

LIMITATIONS OF LIABILITY

The Travel Consumer Restitution Fund of the State of California is designed to protect consumers from unscrupulous travel practices.  This law does not cover non-California residents, and it does not pertain to any foreign travel where the foreign “providers of transportation or travel services” are not registered as a Seller of Travel in California thus not participants in the Travel Consumer Restitution Fund.  Costa Rica Extreme, S.A. is a Costa Rican corporation and as such, none of CRE’s trips qualify for coverage by the fund and California law requires us to advise you that you would not be eligible to make any claim from that fund in the unlikely event of any default by CRE or any of our subcontractors.
